Accelerator Program Idea Submitter Terms & Conditions

The Accelerator Hackathon is being organized by The Society for Clinical Data Management (SCDM), with Capgemini serving as the program sponsor. This initiative forms an integral part of the SCDM 2025 India Annual Conference. Participation is restricted to those individuals who have applied and been accepted or formally invited to join the program. All participants (Idea submitters) are subject to the following Terms and Conditions. For any event-related inquiries, please contact us at scdmevents@scdm.org.

1. Participants

1.1. The program is open to participants from:

  • Undergraduate/postgraduate students from life sciences, data science, and health informatics disciplines.
  • Professionals from BPOs, CROs, KPOs, Pharma, Tech/AI firms, and startups.
  • To be eligible for this program, participants must be at least 18 years of age. Participation in the Event is subject to the SCDM's sole discretion and is entirely voluntary. SCDM’s Staff and volunteers or its affiliates who choose to participate do so voluntarily as part of their employment, and all relevant Company policies and terms of employment will continue to apply as they do during regular work activities.

2. Responsibility of Participants

2.1. Approvals

Every Participant is expected to have obtained the proper approvals from your management, or academic institute, and the Organizer is not responsible for any disciplinary action taken against you by your employer or academic institute for failure to obtain such approvals.

2.2. Use of Tools or Platform

The participants can use any tools or platforms to create proof of concept (POC) for the event. The Organizer is not responsible for enabling access to such tools or platforms to the participants and the usage of any tools or platforms by the participants is at their own discretion. The organizer shall not be responsible for any misuse of tools or platforms.

2.3. License

Idea Submitter grants to SCDM a royalty-free, irrevocable, transferable license to use, reproduce, and distribute all Presentation materials (including all handouts and PowerPoint presentations) in any manner and in any medium now known or hereafter created with appropriate attribution to Idea Submitter. Idea Submitter understands that this license does not change the fact that Idea Submitter retains copyright ownership of the Presentation materials developed by Idea Submitter and does not prohibit Idea Submitter from using the Presentation materials developed by Idea Submitter in any way. SCDM does not commit to or guarantee publication of the Presentation or the Presentation materials, including on SCDM’s website. SCDM may elect, in its sole and absolute discretion, not to publish the Presentation contributed by Idea Submitter.

2.4. Promotion

It is understood that SCDM may use Idea Submitter’s name, photograph, likeness, and biographical material solely for the purpose of advertising and promoting the session and the Presentation.

2.5. Recording

Idea Submitter consents to the recording of the Presentation by SCDM in audio and/or visual form. Idea Submitter understands that SCDM will be the sole copyright owner of the recording and can distribute, sell, publish, and re-purpose it, along with any supporting materials, in various print or electronic media (such as USB/Thumb Drive or via the Internet). SCDM can, for its own benefit, use, promote or exploit the Presentation and/or Presentation materials or any derivative work of the materials.

2.6. Warranty

Idea Submitter warrants and represents that, to the best of Idea Submitter’s knowledge, Nothing in the Presentation or Presentation materials violates any proprietary or personal rights of others (including, without limitation, any copyright, intellectual property, or privacy rights), the presented idea is factually accurate and contains nothing libelous or otherwise unlawful.

Idea Submitter further represents and warrants that the Presentation and Presentation materials are Idea Submitter’s own original work, and that Idea Submitter is the sole copyright holder or has obtained all necessary permissions or licenses from any persons or organizations whose material is included or used in the Presentation including, without limitation, charts, graphs, pictures and cartoons. Idea Submitter also represents and warrants that Idea Submitter’s employer, if any, has approved Idea Submitter’s participation in the event described in the Agreement and that participation in the event is within the scope of Idea Submitter’s employment.

2.7. Indemnification and Release

Idea Submitter agrees to indemnify and hold harmless SCDM and its representatives, affiliates, members, employees, successors and assigns from and against all claims, demands, suits, judgments or proceedings, including all costs, expenses and/or damages (including reasonable attorneys’ fees and costs) arising to SCDM or any of its representatives, affiliates, members, employees, successors or assigns or which SCDM or any of its representatives, affiliates, members, employees, successors or assigns may incur or sustain by reason of Idea Submitter’s breach of this Agreement or any of the warranties contained herein including, without limitation, any claim of copyright infringement or failure to not credit copyrighted work used in the Presentation. SCDM prohibits registrants to the SCDM 2025 India Conference from republishing any of the Presentation and Presentation materials accessible at or after the SCDM 2025 India Conference. Accordingly, Idea Submitter releases SCDM, and its representatives, affiliates, members, volunteers, staff, successors and assigns from all claims, demands, suits, judgments, or proceedings regarding any unauthorized republication by any registrant to the SCDM 2025 India Conference.

2.8. Force Majeure and Termination

The performance of this Agreement by either SCDM or Idea Submitter is subject to acts of God, war, government regulation, disaster, fire, medical epidemic, strikes, threats or terrorist attacks, civil disorder, curtailment of transportation facilities, or other similar cause beyond the control of the parties making it inadvisable, illegal, impossible, or commercially impractical to hold SCDM 2025 India Conference or the Accelerator Program in which Idea Submitter is scheduled to participate. This Agreement may be terminated without penalty or performance for any one or more such reasons by written notice from one party to the other.

2.9. Miscellaneous

The parties acknowledge and agree that Idea Submitter’s participation in the SCDM 2025 India Conference does not make Idea Submitter an employee, agent, partner, or co-venturer of SCDM. This Agreement, including its Terms and Conditions, constitutes the entire agreement between Idea Submitter and SCDM and may not be modified except by written agreement of both parties. This Agreement will be binding upon and inure to the benefit of the heirs, executors, administrators, legal representatives, successors, and assigns of the parties. This Agreement shall be governed by the internal laws of State of New Jersey, USA without regard to conflict of law doctrines. In the event that any provision of this Agreement is found by any court of competent jurisdiction to be illegal or unenforceable, such provision shall be modified to the extent necessary to render it enforceable or severed and as so modified or severed, this Agreement will remain in full force and effect. This Agreement may be executed in two (2) or more counterparts, each of which shall be deemed an original and all of which shall together constitute one instrument. A facsimile signature or manual signature delivered electronically shall be deemed to be an original signature.
